Operations Coordinator

Reports to: Chief Marketing Officer
Status: Full time - 40 hours per week*
Salary: $55,000

Position Summary
The Operations Coordinator supports the execution of marketing initiatives and go-to-market readiness across the organization. This role is responsible for building, launching, and maintaining digital assets, campaigns, and materials that support revenue generation.

The Operations Coordinator implements and manages work developed by the Chief Marketing Officer and internal stakeholders, ensuring projects are completed accurately, on time, and to a high standard.

Key Responsibilities

​

Digital Asset & Product Execution

  • Manage product setup and updates in Shopify, including uploads, formatting, pricing, discounts, and organization

  • Prepare and format materials for new products, toolkits, and downloadable resources

  • Build, update, and maintain website and product-related content across digital platforms

  • Ensure all digital assets are accurate, functional, and aligned across systems

  • Own the accurate and timely setup of products, campaigns, and materials across platforms
     

Campaign & System Execution

  • Build and deploy email campaigns and workflows within HubSpot (CRM) based on established plans

  • Maintain and update records, assets, and content within HubSpot to support campaigns and sales activity

  • Execute campaign components across systems (CRM, website, product platforms)

  • Set up and manage Zoom webinars and virtual events, including backend configuration, registration, and access

  • Ensure consistency and accuracy across all systems and campaign elements
     

CRM Optimization & Sales Enablement (HubSpot)

  • Maintain and optimize HubSpot CRM to support accurate tracking of contacts, deals, products, and campaign activity

  • Ensure HubSpot is structured and maintained to support efficient, consistent, and scalable sales execution

  • Ensure sales-related assets, links, and materials are properly built, accessible, and functioning within HubSpot

  • Build and maintain workflows, properties, and records that support consistent lead management and follow-up

  • Improve data quality and organization to ensure reliable reporting and visibility into sales activity

  • Identify gaps or inefficiencies in CRM setup and proactively implement improvements to streamline execution

  • Support the sales process by ensuring materials, automations, and systems are in place and functioning as intended
     

Production

  • Produce and update materials, including reports, slide decks, worksheets, templates, and campaign assets

  • Edit and format presentations for webinars, trainings, and conferences

  • Prepare and package content for use across digital platforms (web, email, product pages)

  • Ensure all materials meet established brand and quality standards
     

Project Management

  • Manage tasks, timelines, and deliverables in Basecamp

  • Track progress across multiple workstreams and ensure deadlines are met

  • Coordinate inputs from internal team members to finalize and launch materials

  • Maintain organized documentation, workflows, and campaign assets
     

Data & Reporting Support

  • Pull and organize performance data across HubSpot, Shopify, and other digital platforms

  • Maintain clean, accurate, and organized data within systems

  • Identify and flag gaps or inconsistencies in execution or data
     

Qualifications

  • Experience in a coordination, implementation, or production-focused role

  • Experience working within digital systems and platforms (e.g., CRM systems like HubSpot, e-commerce platforms like Shopify, or similar tools)

  • Strong attention to detail and ability to manage multiple projects simultaneously

  • Ability to follow direction, execute independently, and meet deadlines

  • Clear and concise communication skills

  • Comfort working in a fast-paced, execution-focused environment
     

Preferred Experience

  • Experience working in HubSpot or a similar CRM

  • Experience managing or supporting an e-commerce platform (e.g., Shopify)

  • Experience building or maintaining digital content across multiple platforms

  • Comfort working with checklists, workflows, and repeatable processes
